Proof of service for commercial cleaning
Proof of service for commercial cleaning
What is proof of service for commercial cleaning?
It means a record of every clean that a client can check against what you billed. With LockProof, the cleaner photographs the finished area through a texted link; our server sets the time when the photo arrives, GPS is added if the cleaner shares location, and a SHA-256 seal makes a later edit show.
Does every cleaner need an account or an app?
No. Each cleaner gets a text with one link. Tapping it opens the phone’s camera in the browser, so nothing gets installed and nobody logs in. That matters on crews with turnover: a new cleaner can send a record on the first night, with no setup.
Can a cleaner send a photo from an earlier night?
Not through the link. It opens a live camera and keeps the gallery out of reach, so an old picture cannot be picked. The time comes from our server when the photo arrives, not from the phone, so a cleaner cannot set or back-date it. A later edit to the record breaks its seal.
What does my client actually receive?
One signed link. It opens in an ordinary browser with no account, shows the photo, the time our server set, and the location if the cleaner shared it, and stays live for seven days. You send it when a client questions an invoice or asks whether an area was cleaned that night.
How much does proof of service for commercial cleaning cost?
LockProof is $99 a month on Essentials, with Professional from $399 a month. Plans are sized by the number of sites and workers you run, so a crew covering a few buildings and one covering dozens land on different plans. We confirm the right fit on a short call once we know your contracts.
How a clean becomes a record
Four steps, from the schedule to the client’s inbox. Nobody on the crew installs anything.
- Put the clean on the schedule. When the job comes from your schedule, LockProof creates its record first and then texts the cleaner one link.
- Shoot the finished area. The link goes straight to the phone’s camera, and saved pictures can’t be picked, so every shot is live. No app, no account.
- Our server does the rest. It sets the time when the photo lands, not the phone. GPS rides along if the cleaner shares location, and a SHA-256 fingerprint seals the photo, that time and any coordinates together.
- Send it when the bill is questioned. One signed link opens in the client’s browser, no account needed, for seven days.
What each clean gives you
- A photo of the finished area, taken through the live camera with the gallery closed
- A time our server sets when the photo arrives, which the cleaner cannot set or back-date
- On time or late, worked out from that server time against the window you set
- GPS coordinates when the cleaner shares location, plus a setting that requires a reading before anyone can submit
- A SHA-256 fingerprint over the photo, the time and any coordinates, so a later edit would show
- A signed link the client opens without an account, live for seven days
- Nothing for the cleaner to install and no account to create
What a client opens when an invoice is questioned
One record per clean: the photo of the finished area, the time our server set when it arrived, the location if the cleaner chose to share it, and a fingerprint that would stop matching if anything changed afterward.

When the hours on the invoice are the only record
From 2014 into 2016, the company cleaning San Antonio’s Alamodome under a city contract billed for janitorial hours its crews had not worked, and from mid-2015 it had timesheets drawn up to match the bills. A city contract review found it. In December 2017 a federal jury convicted the company’s owner of wire fraud (ICE Homeland Security Investigations, on the verdict announced by the U.S. Attorney, December 2017), and in November 2018 a federal judge gave him 25 months in prison, with restitution of about $358,000 (U.S. Attorney’s Office, Western District of Texas, November 2018).
Look at what the city had to check. The invoice and the timesheets behind it were both written by the company being paid. A photo record of each shift would not have stopped anyone from padding a bill, and LockProof does not claim it would. What it changes is what a reviewer gets to look at: a picture shot with a live camera, with a time no one on the crew set, sealed so a later change would show. For an honest contractor, that is the record that answers a client who doubts the hours.
A cleaning log next to a sealed record
| Question | A sealed record | A cleaning log |
|---|---|---|
| Who writes it | The camera and our server | The crew, after the shift |
| Where the picture comes from | Through the live camera, gallery closed | Any photo on the phone |
| The time on it | Set by our server on arrival | Typed in, or the phone clock |
| A later edit | Breaks the SHA-256 seal | Leaves no mark |
| Location | GPS when the cleaner shares it | Rarely recorded |
| What the client gets | One signed link, for seven days | A spreadsheet |
What LockProof does not do
LockProof does not run payroll or keep timesheets, and it is not a time clock. It adds one thing to the tools you already run: a photo record of each clean, timed by our server and sealed. Open a sample record for the shape of it, or read how the same loop runs through a cleaning company’s night on our commercial cleaning industry page.
